icipe seeks to recruit a Scientific Journal Administrator to work in the Director General’s Office to administer icipe’s scientific journal, the International Journal of Tropical Insect Science. The position is tenable in Nairobi at
the icipe Duduville campus. The position is for an initial fixed-term of 2 years, renewable, based on performance
and availability of funds. This is a nationally recruited position. A competitive and generous compensation

Overall purpose of the job
To administer the manuscript workflow process: from submission of manuscripts to icipe’s scientific journal,
through to review and editing of the manuscripts and submission to the publisher.
§§ Manages the web-based manuscript workflow management software.
§§ Ensures all review and editing timelines are met, and all authors, reviewers and editors comply with journal
policies and procedures.
§§ Communicates effectively with authors, associate editors, technical editors, Chief Editor, co-publisher, and
other stakeholders.
§§ Communicates with the provider of manuscript management software on technical and training issues.
§§ Makes improvements to the review/editing processes as needed.
§§ Creates an audit trail of all communications and actions for all manuscripts.
§§ Enrols Associate Editors and Technical Editors into the manuscript workflow management software system,
and provides training to new Associate Editors and Technical Editors on the review and editing process and
on use of the manuscript workflow management software.
§§ Conducts pre-screening of submitted manuscripts, including checking to ensure a manuscript is within
the scope of the Journal; checking that a manuscript contains all key elements of a scientific paper (e.g.
references, figures, tables, author addresses and affiliations, etc.); and checking the accuracy of plagiarism
§§ Develops and regularly updates a database of reviewers in the management software.
§§ Assigns associate editors to manage the peer review and acceptance/rejection of manuscripts.

§§ Assigns technical editors to oversee the technical editing process.
§§ Assists with editing of manuscripts where necessary.
§§ Prepares regular reports on journal operations to the Chief Editor and JTI Journal Committee.
§§ Makes recommendations to improve journal operations.
§§ Prepares annual work plans and budgets.
§§ Administers budget for journal management, including payment to software providers.
§§ Any other tasks that may be assigned by the Supervisor.
§§ Science-related bachelor’s degree.
§§ At least 2 years’ administrative experience, ideally with editorial and database management experience in
a scientific publishing environment.
§§ Experience of working in an international work environment preferred.
Core Competencies
§§ Good IT skills, and expert-level proficiency in MS Word, PowerPoint, and Excel. Ability to learn to use
process management software.
§§ Good written and verbal communication skills are essential.
Other desirable attributes
§§ Experience in working independently in a fast-paced, deadline-driven environment.
This position reports to the Head, Capacity Building and Institutional Development Programme.
