Job Description

In conjunction with the Global HR team, deliver effective and efficient HR processes and support to recruitment, on boarding, benefits, employee relations and training and development. The HR Assistant will also provide professional administrative support to the VP, Global HR and HR team.

Key Duties & Responsibilities:

HR Administrative Support

  • Maintain HR document (paper and electronic) archive policies including filing and appropriate disposition of all confidential and sensitive HR documents
  • Create forms and templates as needed
  • Schedule and coordinate department meetings
  • Coordinate and organize PCI employee events such as company picnic and holiday party and department offsite meetings
  • Process department check requests, invoices and wire requests
  • Maintain HR organization charts
  • Manage department equipment and supplies
  • Preparing for and setting up monthly all staff meetings including coordinating the agenda with departments as well as setting up go-to-meeting for participation with off-site staff
  • Miscellaneous projects as assigned
  • Order office supplies for department

On boarding and Benefits Support

  • Partner with HR Specialist to ensure new employees have on boarding schedule and materials
  • Schedule all New Hire Orientation (NHO) meetings with various departments
  • Preparing and maintaining employee files
  • Prepare and update status changes
  • Structure & format reports as needed for HR department and other departments
  • Process year end W-2 reconciliation
  • Prepare and distribute reports as needed by Global HR
  • Keep benefits information updated after each yearly renewal
  • Liaise with vendors as appropriate
  • Monitor and manage PCI annual service award presentation and preparation
  • Maintain benefit databases by enrolling, terminating and making appropriate changes to employee benefit packages.
  • Work with 403(b) vendor to schedule quarterly educational meetings as well as one on one meeting with new staff.
  • Maintenance of COBRA records & payments

Recruitment Support

  • Prepare and place recruitment advertising in the applicant tracking system as well as on external sites
  • Schedule interviews over multiple time zones and through different forms of communication, i.e. Skype, Go To Meeting or in-person
  • Conduct background checks, including suspension and debarment checks
  • Draft offer letters
  • Assist Talent Acquisition Specialist in various recruitment-related tasks
  • Participate in PCI’s innovation efforts and in teams on innovation initiatives
  • Provide reception desk relief during peak periods and during coordinated lunch breaks

Position Parameters/Special Responsibilities Required:

  • Partner with all HR team members
  • May be required to work OT during peak periods
  • Must be able to lift 25 lbs over head
  • Participate in PCI’s innovation efforts and in teams on innovation initiatives
  • Other duties as assigned
